Year-round tax record-keeping habits for individuals and small businesses
Simple monthly habits that make income tax and sales tax filing easier: organising withholding certificates, invoices, bank statements and asset records.
Key points
- Keep a simple monthly routine rather than searching for documents at year end.
- Save evidence of tax deducted at source as it happens.
- Record asset purchases and sales promptly for the wealth statement.
Most stress at tax time comes from missing paperwork. A few habits through the year make filing faster, more accurate and easier to support if FBR asks questions.
1. Keep one folder per tax year
Pakistan’s tax year normally runs from July to June. Create a digital folder for each year with sub-folders for income, tax deducted, bank statements, assets and expenses. Scan paper documents when you receive them.
2. Capture tax deducted at source
Tax is withheld on many transactions — salary, some bank transactions, utility and telecom bills, vehicle-related payments and others. Save certificates, bills and receipts showing the tax deducted. These may be claimable when you file your return.
3. Download bank statements monthly
Bank statements support your declared income and expenses. Downloading them monthly avoids gaps if an account is closed or online access changes.
4. Record assets as they change
If you buy or sell property, a vehicle or investments, note the date, cost and how it was funded. This makes the wealth statement easier to reconcile. See documents for your tax return.
5. For businesses: reconcile every month
If you are registered for sales tax, match your sales and purchase invoices to your records each month before the return is due. Ask suppliers to correct missing or incorrect invoices promptly, as this can affect input tax. Our sales tax filing service includes reconciliation.
6. Separate personal and business spending
A dedicated business bank account makes records clearer and helps demonstrate business income and expenses.
7. Note your deadlines
Keep a calendar of return due dates and registration renewals (for example PSEB or chamber membership). Due dates can be extended by authorities, but planning for the original date avoids last-minute problems.
